Sourcing Natural Pet Toys from Vietnam: The First Order
A first order becomes much easier to manage when the buyer and factory are looking at the same product, the same pack and the same delivery point. Most of the useful work happens before the purchase order: narrowing the assortment, approving a sample and deciding what must be ready before the goods leave Vietnam.
Send a brief the factory can price
Include your destination country, sales channel, product references, sizes and quantity per SKU. Explain whether you want standard wholesale goods, your logo on an existing item or a change to the construction. Attach a reference image where it helps, but add measurements; a picture alone cannot define a product.
For a coffee wood range, decide which sizes you want to test first. For loofah shapes or fiber balls, specify whether the saleable unit is one toy or a set. That choice affects the price, the packaging minimum and the carton arrangement.
Approve the retail pack as carefully as the toy
Request a sample of the proposed pack, including label placement, barcode area and any protective wrapping. Check how the product sits inside it and whether the important instructions remain readable. A product sample in a plain courier bag does not approve a future printed retail box.
Keep the sample reference, agreed dimensions and artwork version together. Identify who can approve a change. This avoids a familiar problem: a factory waiting for artwork while the buyer believes the production clock has already started.
Build quality checks into the order
Agree the defects that matter for the construction, the inspection stage and what happens to non-conforming goods. For wood, discuss dimensions, finish, cracks and drying records. For fiber assemblies, include winding, knots and attachments. Add pack counts, labels and carton marks to the same inspection plan.
A photograph from a previous order can show a process. It cannot replace inspection information for the lot you are purchasing. Your order needs an identifiable reference from sample approval through receiving.
Work backwards from the date you need stock
Separate development, sample delivery, artwork approval, production, testing, freight and receiving. Ask when each stage can start and which approvals it depends on. A factory completion date is not a warehouse delivery date.
Before dispatch, have your forwarder or broker review the product description, destination requirements and document list. Confirm the named delivery point, carton dimensions, gross weight and shipment responsibilities. When the first shipment arrives, record any differences while the cartons and batch markings are still available. That receiving report is the foundation of a better repeat order.
